Privacy policy

This policy describes how we handle personal data when you use My Pet Memoir. It is written for a UK audience and reflects UK GDPR and the Data Protection Act 2018.

Last updated: 15 May 2026

1. Who we are

The My Pet Memoir website and related services are provided by TIN MAN GROUP LIMITED (company number 12716894) (“we”, “us”). For data protection law, TIN MAN GROUP LIMITED is the controller of personal data described in this policy, unless we state otherwise (for example where we process data purely on behalf of a partner organisation under contract).

For privacy enquiries or to exercise your rights, please use our Contact us page.

2. What data we collect

We may process:

  • Account and contact data — for example email address and authentication events when you sign in.
  • Memorial and content data — text, images, audio, timelines, guestbook messages, and settings you or authorised collaborators add to a memorial.
  • Partner case data — where a funeral director or similar partner creates or manages a memorial on behalf of a family or pet family, we may process professional contact details and case references needed to operate that workflow.
  • Payment data — when you pay, our payment provider processes card and billing details. We typically receive limited transaction metadata (for example confirmation of payment and identifiers), not your full card number.
  • Technical and usage data — such as IP address, device and browser type, approximate location derived from IP, and logs used for security, debugging, and service improvement.

3. How and why we use data

We use personal data to:

  • provide, secure, and improve the My Pet Memoir service;
  • authenticate users and manage memorial access and visibility;
  • moderate guestbook and other contributions where features are designed to reduce harm (for example review before publication);
  • process one-time payments and meet tax and accounting needs;
  • communicate with you about the service, security, or legal requirements;
  • comply with law and respond to valid requests from authorities.

4. Legal bases (UK GDPR)

Depending on the activity, we rely on one or more of: performance of a contract (providing the service you asked for), legitimate interests (for example securing the platform, understanding aggregate usage, and moderate fraud prevention), legal obligation, and consent where we ask for it (for example certain cookies or optional communications). Where we process special category data you choose to include in a memorial, we rely on applicable grounds such as explicit consent or personal data manifestly made public by the data subject, depending on context.

5. Sharing and processors

We use trusted service providers (“processors”) who host infrastructure, provide authentication, store files, process payments, or help us operate support. They process data only on our instructions and under appropriate contracts. Providers may be located in the UK, EEA, or other countries; where data is transferred internationally, we use safeguards recognised under UK law (such as the UK IDTA or adequacy regulations) where required.

6. Retention

We keep data only as long as needed for the purposes above, including to operate lifetime memorial access, meet legal retention periods, and resolve disputes. When data is no longer needed, we delete or anonymise it subject to backup and archival cycles.

7. Your rights

Under UK data protection law you may have rights to access, rectify, erase, restrict, or object to certain processing, and to data portability where applicable. You may also withdraw consent where processing is consent-based. To exercise these rights, please use our Contact us page. You can complain to the Information Commissioner’s Office (ICO).

8. Cookies and similar tech

We use cookies and similar technologies needed for security, sessions, and preferences, and may use additional cookies for analytics or product improvement where permitted. You can control non-essential cookies through your browser settings where available.

9. Children

My Pet Memoir is not directed at children for independent account registration. If you believe we have collected a child’s personal data in error, please use our Contact us page and we will take appropriate steps.

10. Changes

We may update this policy from time to time. We will post the revised version on this page and adjust the “Last updated” date. Where changes are material, we will provide additional notice if required by law.

Our Terms & conditions also govern use of the service.
